Privacy policy

Last updated: 28 October 2026 · Deutsche Fassung

1. The essentials

This website gets by with as little data as possible. We do not set cookies, we do not use analytics or tracking tools or social media plugins, and we do not embed content from third-party servers. Even the fonts are hosted on our own web space. We only process personal data if you join our waitlist, and only for that purpose. We do not sell data, we do not pass it on, and we do not transfer it to countries outside the European Union.

We are not required to appoint a data protection officer. If you have any questions about data protection, simply write to us at the address above, in English or German.

3. Hosting and server log files

This website is hosted by Febas, owner Roman Baumgärtner, Ostlandstraße 5, 49565 Bramsche, Germany. When you visit the site, the server processes technically necessary data transmitted by your browser: IP address, date and time, page requested, amount of data transferred, referrer, browser and operating system. This is necessary to deliver the site and to keep it secure, for example to detect attacks.

The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest lies in providing the website securely and reliably. The log files are deleted by the host after a short period. We have concluded a data processing agreement with the host in accordance with Art. 28 GDPR.

4. Waitlist

What data

If you join the waitlist, we store your email address and, if you choose to provide them, your name, your organisation and whether you are interested in ArchiveID as an archive, a production or otherwise. We also store the language you used, the time of sign-up and confirmation, and the version of the consent text, so that we can demonstrate your consent.

Your email address is required for the waitlist, all other information is optional. If you do not wish to provide an email address, we unfortunately cannot add you to the list, but this has no other consequences for you.

Purpose

We use this data exclusively to inform you about the launch of ArchiveID and important news, and to understand who is interested in ArchiveID. No automated decision-making or profiling within the meaning of Art. 22 GDPR takes place.

Double opt-in

After you submit the form, we send you an email with a confirmation link. You are only added to the list once you confirm it. This ensures that no one can sign up other people's addresses. Unconfirmed sign-ups are automatically deleted after seven days.

Legal basis and withdrawal

The legal basis is your consent under Art. 6(1)(a) GDPR. You can withdraw it at any time with effect for the future, either via the unsubscribe link in our confirmation email or by sending a short message to mail@archive-id.com. Your data will then be deleted completely. Withdrawal does not affect the lawfulness of processing carried out before it.

Retention

We keep your data until you unsubscribe or until we no longer need the waitlist, but no longer than two years after your sign-up, unless you have been in further contact with us in the meantime.

Technology and abuse prevention

The data is kept in a protected file on our web space at Febas, and emails are sent via their mail servers. No newsletter service provider is involved. To prevent mass automated sign-ups, we derive an encrypted short value from your IP address that is only valid for the current hour and is then overwritten. We do not store your IP address itself. The legal basis is Art. 6(1)(f) GDPR, our legitimate interest being the prevention of abuse.

5. Notice window

On your first visit we show a short notice that this site does not use cookies. When you close it with "Got it", your browser remembers this locally (in so-called local storage) so that the notice does not reappear on every page. This information stays on your device, is not transmitted to us and contains no personal data. It is strictly necessary for the function you requested (Section 25 (2) No. 2 TDDDG). You can delete it at any time in your browser settings.

6. Encryption and security

The site is delivered exclusively over an encrypted connection (HTTPS). Data you send via the form therefore cannot be read by third parties. The stored data is protected against outside access and is accessible only to us.

7. Your rights

You have the right at any time to access your stored data (Art. 15 GDPR), to rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). You can withdraw consent at any time (Art. 7(3)). A message to mail@archive-id.com is enough, and we usually reply within one month.

You also have the right to lodge a complaint with a data protection supervisory authority, in particular in the EU member state where you live or work. The authority responsible for us is the Data Protection Commissioner of the State of Brandenburg (Landesbeauftragte für den Datenschutz und für das Recht auf Akteneinsicht Brandenburg), Stahnsdorfer Damm 77, 14532 Kleinmachnow, Germany.

8. Visitors outside Germany

This website is aimed at an international professional audience. We apply the General Data Protection Regulation (GDPR) to all visitors, regardless of the country in which you live. The rights described above are therefore available to you in any case.

Our service is aimed at professionals in archives, media and film production and not at children. We do not knowingly collect data from anyone under the age of 16.

9. Language versions and changes

This privacy policy is available in German and English. Both versions are intended to have the same content, and in case of any discrepancy the German version shall prevail. If the website or the legal situation changes, we will update this policy. The version published here always applies.
